Legal framework
The HWR Berlin AI Policy covers the use of artificial intelligence within the scope of university activities across all areas of research, teaching, and administration.
For university administrative staff, this guideline also serves as an official directive.


AI Skills
“In accordance with Art. 4 of the AI Regulation, the use of AI tools requires the safe and responsible handling of AI. This necessitates a fundamental understanding of the technology and its implications. HWR Berlin therefore requires all members of the university to acquire the competencies necessary for their respective areas of work. To this end, various professional development and advisory services are being developed and provided by HWR Berlin’s service units or in cooperation with partner institutions.” (§7 HWR Berlin AI Policy)

Mandatory training
Participation in the mandatory training on the use of AI as part of the annual occupational safety and fire safety briefings.

AI Fundamentals Course
Successful completion of the online training course “Strengthening AI Competence for Employees” in Moodle is a prerequisite for employees in services, technical departments, and administration, as well as for academic staff, to be granted access to the AI tools available for official use.
The acquired certificate must be submitted to the HR department (Office Management).
Workshops
In this practice-oriented workshop, which we offer for work groups/teams, we will first discuss the legal framework for using AI in university administration (AI Act, and the HWR Berlin AI policy). You will get to know the university’s AI tools and work together in the group on practical use cases that you can try out together.

Further training and professional development
The Human Resources Department is responsible for professional development and further training. Please discuss any requests for training or professional development with your direct supervisor.
May AI tools be used?
AI tools may be used to assist in the completion of tasks.
When is the use impermissible?
- In assessing applicants and selecting people for specific positions, including decisions regarding promotions, dismissals, and assignment of tasks.
- In processing personal data for the purpose of assessing personality, job performance, a person’s physical and mental resilience, as well as cognitive or emotional abilities, and for generating forecasts about the likelihood of criminal behavior of individual persons or groups.
- In setting working conditions and contract terms.
- In performance evaluations or the analysis of employees’ work behavior.
- In issuing an administrative decision where there is discretion or a scope for interpretation/assessment (e.g., with regard to indeterminate legal terms).
- Use of these services is not permitted if it involves decisions about access to HWR Berlin or admission to study.
